As a Compliance Specialist within our Human Resources team you will be responsible for ensuring adherence to the on-boarding requirements for each client as stated in the Master Services Agreement.  The Compliance Specialist will partner with the branch office onboarding administrator to successfully onboard new or re-hired consultants.  The Compliance Specialist must ensure adherence to the on-boarding requirement through use of the Second Level Review (SLR) process.  The SLR process ensures that consultants will meet all on-boarding requirements for our strategic accounts prior to beginning their assignment.  This role requires the ability to meet established service level turnaround times, communicate effectively and accurately audit new hire documents to not cause a delay during the onboarding experience.

NOTE: This role can sit at any Signature office once the company returns to the office. 

Primary Responsibilities

  • Analyze the compliance checklist submitted for each employee.
  • Ensure all client specific on-boarding requirements have been met by completing a second level review for each employee.
  • Verify all client agreements have been signed by the employee.
  • Verify the result of the e-Verify are Employment Authorized.
  • Ensure all on-boarding task have been completed in the various Vendor Management Tools used by the client.
  • Ensure all background check results meet the client requirements and are deemed Eligible for Placement or Clear.
  • Ensure all professional references have been completed and updated in Bullhorn.
  • Document all on-boarding errors, compliance items, lack of responsiveness and escalate issues to the Director of Human Resources.
  • Responsible for sending the Clear To Start notification to the Account Manager, Recruiter and Onboarding/Office Administrator.
  • Partner with branch office administrators for training on client compliance requirements as requested or needed. 
  • May be asked to lead team training for specific accounts. 
  • Assist with client audits or special projects as requested.
 

Minimum Qualifications
High school diploma or equivalent.  Undergraduate degree preferred.  Two or more years experience in on-boarding, compliance or Human Resources. 

  • Strong attention to detail and ability to identify gaps, mistakes in processes 
  • Ability to work independently and manage time throughout the work day
  • Strong verbal/written communication abilities; effective interpersonal skills; strong attention to detail
  • Strong sense of urgency; ability to execute quickly and efficiently
  • Highly organized with strong follow up skills and the ability to multi-task
  • Detail oriented and ability to identify errors quickly
  • Previous experience in a fast-paced, client-centric service setting with proven performance in a high volume environment strongly preferred
  • Effective problem solving, process improvement and troubleshooting skills
  • Able to think critically to solve complex and time-sensitive inquiries 
  • Team oriented with the ability to flex in support of turnaround timelines and deliverables
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion.
  • Ability to think critically and problem solve on a daily basis
